Your Workspace is your company. If it works from more than one place, add locations: each can have its own name, address, phone, email, logo, tax rate and suppliers, and its own people. You don't need any. Anything a location leaves blank comes from your company's details.
Overview
A Workspace is one company: one license, one bill, one set of seats. A location is a place the company works from, such as a branch, a yard or an office.
- You don't need locations. A Workspace with none works as it always has. Add them when you want a branch to have its own details.
- Company details first. Your company's address, phone, email, website, logo, tax rate and suppliers are set once, for the whole Workspace.
- Fill in a location's phone and tax rate, leave the rest blank, and it uses the company's logo, website and everything else.
- People belong to a location, or to none. Someone with no location uses the company's details.
- One bill. Seats are still the company's. A location never has its own bill or its own seats to buy.
- Location admins can look after their own location without being the company's admin.
- Locations are part of your Workspace license. There's nothing extra to buy.
Where to find it
- On your account page: app.planbaseestimating.com → Locations in the list on the left.
- Who's where: Workspace and seats has a Location column and a Location filter.
- In DimSum: Coming (see Coming to DimSum). From DimSum, System Settings → Account & License → Manage account opens your account page.
How to use it
Everyone in the Workspace can open Locations and see the details. What you can change depends on your role (see Who can do what).
Set your company details (company admin)
- Open Locations.
- Under Company details, fill in what you want on your reports: address, phone, email, website and logo. Add a tax rate and your suppliers if you like.
- Notes are for your own people (directions, gate codes, who to call). They're never printed.
- Click Save.
Your company's name is your Workspace's name.
Add a location (company admin)
- Open Locations and click Add a location.
- Give it a name (for example North yard or Springfield office). Names must be different within your Workspace.
- Fill in only what's different from the company. A blank field shows the company's value in grey, and that's what the location uses.
- Click Save.
You can add up to 50 locations.
Edit a location
A company admin can edit any location. A location admin can edit their own. Change the fields and click Save. Clear a field to go back to the company's value.
Add a logo
Logos go on the company details and, if a location wants its own, on the location.
- Click Add logo (or Replace logo) and pick the file. It uploads at once.
- To go back to the company's logo, click Remove logo on the location.
The logo must be:
- a PNG or JPEG file (other kinds, such as SVG or PDF, aren't accepted);
- 1 MB or smaller;
- between 16 and 4096 pixels wide and high.
A new logo replaces the old one. Logos are shown through a link that doesn't need you to be signed in, so DimSum and your reports can show them. Don't use a logo for anything private.
Tax rate and suppliers
- Tax rate is one percent per location, from 0 to 100 (for example 8.25). Leave a location's rate blank to use the company's.
- Suppliers are a simple list, one per line (for example the lumber yard and the truss plant a location buys from).
Both are kept now, ready for DimSum. Using them in pricing in DimSum is Coming.
Remove a location (company admin)
- Open the location and click Remove.
- Confirm. The people and pending seats in it move to No location, and its logo is deleted. No one loses their seat.
Removing a location can't be undone. To bring it back, add it again and put the people back in it.
Put people in a location
On Workspace and seats:
- Find the person in Members, or the email under the pending invitations.
- Set their Location (or No location).
- Use the Location filter at the top to see who is in one location, or who has none.
- A pending seat (someone invited who hasn't joined yet) can be placed in a location too. They're in it when they accept.
- One location per person.
- Inviting people and adding seats are done by a company admin, as before.
Make someone a location admin (company admin)
On Workspace and seats, put the person in a location, then tick Location admin on their row. A location admin must be in a location; moving them to No location ends it.

The company admin is your Workspace's admin.
Coming to DimSum
Coming Coming: DimSum will use your location's details. Until then, nothing in DimSum changes when you add locations.
- Account & License shows your location and whether you're its admin, under Workspace.
- Reports use your location's name, address, phone, email, website and logo in their headers, then on plan title blocks and quotes. A field your location leaves blank uses the company's. DimSum keeps a copy, so it works offline like the rest of your license.
- Tax rate and suppliers become values your own pricing properties, lists and reports can use. DimSum never adds tax on its own.
- Each location's own prices, material tables, tool folders, default settings and templates, published by an admin and laid over the company's, so a yard's lumber prices are its own.
Rules, limits & edge cases
- Up to 50 locations per Workspace.
- Names up to 80 characters, different within the Workspace (North Yard and north yard count as the same).
- Address up to 300 characters and 6 lines; phone up to 40 characters; website up to 200; email must be a valid address.
- Tax rate: 0 to 100, up to 3 decimals.
- Suppliers and notes: up to 2000 characters each. Notes are never printed.
- Logos: PNG or JPEG, 1 MB at most, 16 to 4096 pixels each side.
- Removing a location moves its people and pending seats to No location; nobody loses a seat.
- Seats and billing are the company's. Locations never change what you pay.
- Every change is recorded in your Workspace's history, with who made it.
